Softinsa transforms expense management with SAP Concur

Lisbon, 29.10.2024 – Softinsa – a specialist in global information technology services – has adopted a new solution for the management of the entire expense process of its employees, from the request to the entry into accounting, opting for SAP Concur.
This tool is already fully operational and available to Softinsa’s 700 employees, and the development and implementation was the responsibility of its internal team of SAP consultants and with the contribution and testing of its key users.
SAP Concur ensures greater visibility of the process and access from anywhere and at any time, as it is available both via browser and in the mobile version, being more flexible and promoting compliance throughout the organization.
Softinsa, in addition to reducing the circulation of physical documents, contributing to the conservation of the environment, started to integrate the management of trips, expenses and invoices in a single platform, increasing control and obtaining greater agility and speed in responding to employees.
“SAP Concur streamlines the company’s internal procedures, enabling a more sustainable and effective solution for managers, which saves them time and unnecessary expenses. Employees, on the other hand, have reduced response times and in minutes can enter their expenses, leading to authorizations and reimbursements quickly,” says João Carvalho, Head of SAP Concur for Southern Europe, Middle East and Africa.
One of the main advantages pointed out by the financial department is the speed in approving expenses and anticipating payment to employees, with the process being well organized and oriented to the company’s needs. The workflow is also user-friendly and the approval flow is online, which leads to greater fluidity in the process, allowing hotel and flight bookings to be made online and in real-time, contributing to a reduction in booking costs.
“We achieved gains in terms of agility and efficiency, with the automation and centralization of the process, allowing greater transparency and compliance with our internal and regulatory policies. In addition, the reimbursement process for end users is more agile, which contributes to the satisfaction of our internal teams,” says Paulo Gervásio, Softinsa’s Chief Financial Officer.
Employee acceptance has been very positive, with more than 80% of respondents in the first satisfaction survey considering that it was a substantial improvement compared to the previous process of presenting expenses, in physical support.
The bet on SAP Concur was made following the ongoing implementation of SAP S/4HANA Public Cloud at Softinsa, an internal digital transformation project to improve its processes and productivity, benefiting from the knowledge and experience of its team of SAP consultants.
